Hubdoc is a Xero add‑on that helps automate your data entry, saving you time, reducing admin, and keeping your records tidy without much effort. Most Xero packages include Hubdoc at no extra cost, but if you’re unsure whether you have access, just let me know and I can help you get connected.
How to Access Hubdoc
Hubdoc can be accessed once you are logged in to Xero.
- Click the down arrow next to your organisation name (top left).
- Select Hubdoc from the Do more with Xero menu.
If it’s your first time using Hubdoc, you may be asked to set it up for your organisation and accept the terms and conditions. When you reach the Hubdoc login screen, you can simply sign in using your Xero login - no need to create a separate account.
Electronic Invoices
The main Hubdoc dashboard allows you to connect supplier accounts that issue electronic invoices. These might include things such as utilities, mobile phone, software providers, website providers and many more. Hubdoc maintains a list of supported UK suppliers, so it’s worth checking whether yours are included.
Once you connect a supplier and enter your login details, Hubdoc can automatically fetch invoices. If you set rules to apply the correct Xero coding, Hubdoc publishes invoices directly into Xero as bills and attaches the original document for reference.
Other Invoices (Manual Uploads)
If a supplier doesn’t integrate with Hubdoc, you can still use it to do a lot of the heavy lifting for you. You can upload documents directly using the Upload Document button, or forward invoices by email to your Hubdoc address (e.g. myorganisation@app.hubdoc.com).
You can also:
- Customise your Hubdoc email address via Settings → Organisation → Edit Email.
- Give this email address to suppliers so they can send invoices straight into Hubdoc.
There’s also a Hubdoc mobile app, which lets you take photos of paper invoices and upload them instantly - ideal for receipts or anything you don’t have electronically.
